Booking Agreement

JAS SAFARIS COMPANY LIMITED (herein referred to as “the company“) operates as a tour operator, supplier, and distributor for travel and tourism-related services. These services include but are not limited to destination management companies, hotels, activity providers, tour operators, accommodation organizers, transport companies, and more. The term “booking” refers to the purchase of any product or service offered on our website or through our network at your travel destination. A booking becomes binding once Jas Safaris issues a written confirmation to the email address provided by the customer.

This confirmation serves as our contract or agreement, and it is essential that you, as the customer, review it carefully to ensure it aligns with your order. Any discrepancies or requests for changes must be communicated immediately. Payment signifies your acceptance of these terms and conditions. We recommend printing the confirmation and keeping a copy with you during your trip.

Reservations with Jas Safaris are restricted to individuals aged 18 years or older. Certain suppliers or partners may have higher age requirements, which will be communicated at the time of booking if applicable.

Local Fees and Taxes

In Tanzania, sudden changes to government-regulated fees and taxes – such as national park entry fees – may occur without notice. The company reserves the right to pass these additional costs on to customers, as they are beyond our control.

Payment Terms and Cancellation Policy

The agreed payment terms apply as follows:

Once clients confirm their booking, an invoice with all the details will be issued. To secure the reservation, we require a 30% deposit of the total itinerary cost. This deposit can be made via bank transfer or wire transfer.

The remaining balance must be paid before the start of the safari. This can typically be settled in cash at the start of the tour or via bank transfer at least one week prior to the tour’s commencement. For payments made using a credit card or PayPal, customers are responsible for reimbursing the associated handling fees (generally between 5-8%) charged to Jas Safaris Co. Ltd.

Activities and Cancellation

If you cancel your booking – either in full or partially – for any reason, Jas Safaris Co. Ltd. will apply cancellation charges as outlined below.

All bookings must be confirmed with payment according to the terms of your personal schedule.

  • Cancellations made less than 72 hours before departure: Charged 100%.
  • Cancellations made 72 hours to 7 days before departure: Charged 75%.
  • Cancellations made 7 to 30 days before departure: Charged 50%.
  • Cancellations made 31 days or more before departure: No cancellation fee applies.
  • To process a cancellation, you must send an email to info@jassafaris.com
  • No-shows: Guests who fail to appear or arrive later than the agreed time will be charged 100%.

Jas Safaris Co. Ltd. reserves the right to resell tickets or bookings of no-show guests.

If you wish to make changes to your itinerary or request an earlier departure date after your booking has been confirmed, we will do our best to accommodate you, subject to availability. A fee of USD 100 may apply for some changes made.

Alcohol and Drugs

Guests found to be under the influence of alcohol or abusive drugs will be denied entry to the tour without any entitlement to a refund. Additionally, any guest exhibiting clear signs of intoxication may be removed from the activity or transport. In such cases, they will be returned to the designated pick-up point via separate transfer at their own expense. Guests are also responsible for covering any costs resulting from willful damage caused during the tour.

The “Right to Termination” or “Make Changes” from suppliers, partners, operators

Circumstances beyond our control, or that of our suppliers, partners, or operators – such as adverse weather, technical breakdowns, labor disputes, or other force majeure events – may necessitate cancellations or significant amendments to scheduled activities or services.

If such changes occur, customers will be promptly notified. In cases where suggested alternatives are not acceptable to the customer at the time, a full refund will be issued once Jas Safaris Co. Ltd. receives confirmation from the respective supplier, partner, or operator.

Travel Insurance

It is a mandatory condition of booking that guests secure comprehensive travel and medical insurance to cover themselves and any dependents or companions for the entire duration of their trip to Tanzania. The required coverage includes medical expenses and repatriation. Optional coverage includes:

  • Cancellation or curtailment of the safari.
  • Emergency evacuation (e.g., flying doctor services).
  • Damage, theft, or loss of personal belongings, including money and valuables.

Guests bear full responsibility for ensuring their insurance policies are adequate and up-to-date.

Shortcomings

A shortcoming occurs when the service or product provided deviates from what was booked and confirmed. It also applies if insufficient or negligent information is provided regarding essential details relevant to the booked service or product.

The following scenarios are not deemed as shortcomings in our services:

  • Minor delays during travel.
  • Variations in weather, temperature, or other climatic conditions.
  • Unrealistic expectations regarding wildlife sightings or “zoo-like” experiences.
  • Issues arising from the traveler’s own negligence.
  • Failure to follow the guidelines outlined in our Travel Guide.

While we strive for accuracy and reliability, occasional errors may occur. If such issues are brought to our attention, we will make every effort to notify you within three working days of your reservation. We reserve the right to cancel bookings and refund payments in such cases.

Modifications and Errors

The content on our website is subject to change and may contain occasional errors. Changes to information may occur after publication, and we cannot assume responsibility for clerical errors or outdated details.

Documentation

Upon receiving your confirmation invoice and accompanying documents, review them carefully. Notify us immediately if you notice any discrepancies, as it may not be possible to rectify errors later. We are not liable for inaccuracies that are not reported within 14 days of document issuance. Any costs involved in correcting inaccuracies will be the traveler’s responsibility, except in cases where we made the error.

Passports and visas

Travelers are responsible for ensuring their passports and visas are valid for entry into the countries on their itinerary. For most nationalities, a tourist visa for Tanzania can be obtained upon arrival at the border or airport ($50 per person, $100 for U.S. citizens). This visa is valid for three months. Alternatively, visas can be acquired in advance through an embassy.

Please ensure your passport has at least six months’ validity after your travel’s end date. Jas Safaris Co. Ltd. is not liable for visa issues, including delays, rejections, or costs incurred. For more details, consult our Travel Guide.

Medical conditions and disabilities

If you or anyone in your group has a medical condition or disability that could affect your holiday, please inform us before confirming your booking. This allows us to assess the suitability of the chosen arrangements and provide appropriate advice. Full details must be submitted in writing at the time of booking. If we find ourselves unable to accommodate specific needs, we reserve the right to decline the booking or cancel it if these details are disclosed later.

Our responsibilities

Jas Safaris Co. Ltd. is committed to delivering your holiday as described and ensuring that the services provided meet reasonable local standards. Please note, we cannot accept responsibility for services that are not part of our agreed contract, such as additional services offered directly by hotels or other suppliers.

It’s important to understand that infrastructure in developing countries may differ from what is expected in Europe, North America, or other developed regions. Power outages, water shortages, or similar challenges may occasionally occur in certain accommodations.

We cannot be held responsible for injury, illness, death, loss of enjoyment, damage, costs, or claims arising from:

  1. The actions or negligence of the affected individuals or their party members.
  2. Circumstances involving a third party unconnected to your holiday, which could not have been foreseen or prevented.
  3. Events or conditions beyond our or our supplier’s control, even with all reasonable precautions (force majeure).
  4. Actions by individuals or entities not working on our behalf at the time.

Additionally, we cannot be held responsible for dissatisfaction or issues caused by circumstances that were not disclosed to us at the time of booking, or for problems unrelated to a breach of our contract. Our liability for claims other than those involving injury or death due to negligence is capped at 200% of the holiday price.

We accept responsibility for the negligent acts of our employees, agents, and direct suppliers that result in death, injury, or illness. Please note, transport and accommodation providers have their own conditions, which are binding. These may limit or exclude their liability to you. Copies of their conditions can be requested from their offices.

Questions and complaints in conjunction with your booking

If you encounter issues with a service provider during your trip, you must lodge a formal complaint directly with the provider and obtain a written confirmation before departure or checkout.
